Managing Your Projects

This guide explains how to manage your video projects in AiToVid.

The Project Dashboard

Your project dashboard is the central hub for all your video creation activities. From here, you can:

  • View all your projects: See cards for each project with thumbnails and progress indicators
  • Check project status: Projects show their current stage (Draft, Narration, Review, Ready, Completed)
  • Create new projects: Click "New Project" to start a new video (requires email verification)
  • Accept invitations: View and accept collaboration invitations from other users
  • Duplicate projects: Clone existing projects with all settings
  • Delete projects: Remove projects you no longer need

Project States

Projects progress through several states:

  • AWAITING_SCRIPTS: Project created, ready for script generation
  • AWAITING_AUDIO: Scripts generated, ready for audio generation
  • GENERATING_AUDIO: Audio is being created in the background
  • READY_FOR_EXPORT: All audio complete, ready to export video
  • EXPORTING: Video is being created
  • COMPLETED: Video is ready to download
  • EXPORT_FAILED: Video export encountered an error

The Project Editor

When you open a project, you are taken to the project editor with two main tabs:

Slides Tab

The main workspace for editing your project:

  • Action Bar: Shows your current stage and primary action button (Generate Scripts, Generate Audio, Export Video, or Download)
  • Slide Grid: Visual layout of all slides with thumbnails
  • Slide Cards: Each slide card displays:
    • Slide image (click to preview full size)
    • Slide number
    • Script editor (click to expand and edit)
    • Audio player (when audio is available)
    • Action menu (regenerate audio, replace image, upload audio, delete slide)
    • Reorder controls (move slide up/down)

Collaboration Tab

Manage project sharing and permissions:

  • Invite collaborators by email with specific roles
  • Manage existing collaborators (change roles or remove access)
  • View pending invitations you've sent
  • Role types: Owner, Editor, Viewer

Slide Management

For each slide, you can:

  • Edit scripts: Click on the script text area to make changes (auto-saves)
  • Play audio: Use the audio player to preview narration
  • Regenerate audio: Create new audio for a single slide
  • Upload audio: Provide your own audio file (MP3, WAV, etc.)
  • Replace image: Upload a new image for the slide
  • Insert slides: Add new blank slides or upload images
  • Delete slides: Remove slides from the project
  • Reorder slides: Move slides up or down in sequence

Recording Manual Voice-Overs

  1. Open the slide you want to narrate and click the microphone icon next to the audio player.
  2. Grant microphone access and record. The built-in timer counts up to a maximum of 5 minutes (a warning appears at 4 minutes and the recorder auto-stops at 5).
  3. Stop, playback, and re-record as needed. AiToVid automatically converts the take to WAV before uploading.
  4. (Optional) Enable Match selected project voice to run the recording through ElevenLabs speech-to-speech so it inherits the AI voice chosen for the project.
    • Conversion costs 6 tokens per minute, rounded up. The recorder shows the estimated charge so you can confirm before uploading.
    • Tokens are only deducted when conversion is on. If your balance is too low a warning is shown and the upload is blocked until you add tokens or disable conversion.
  5. Click Upload to attach the recording to the slide. You can always switch back to AI-generated audio later.

Prefer to edit audio externally? Use the Upload audio option in each slide's overflow menu to import a finished WAV/MP3. You can still enable the conversion toggle during upload if you want AiToVid to restyle it with the project voice (the same 6 tokens/minute rule applies).

Project Settings

Click "Edit Project" in the action bar to modify:

  • Project name
  • Goal statement
  • Target audience
  • Voice selection
  • Pronunciation guide

Organizing Projects with Groups and Tags

Project Groups

  • Open the ••• menu on any project card and select Manage Group.
  • Choose an existing group, or create a new one with a custom color and description.
  • Rename or delete groups in the same modal. Removing a group safely ungroups all projects that belonged to it.
  • On the dashboard, each group appears as a collapsible section with a project count so you can quickly hide categories you are not working on.

Project Tags

  • Each project card shows a Tags block. Click Add tags or Manage tags to open the tag manager.
  • Assign multiple tags per project to flag industry, priority, campaign, etc.
  • Create, rename, recolor, or delete reusable tags directly from the modal; changes instantly propagate to every project using that tag.
  • Use the Filter by tags control at the top of the dashboard to narrow the view. Select as many tags as needed (AND logic) and click Clear filters to reset.

Saving Your Work

Your work is automatically saved as you make changes:

  • Script edits save automatically after you stop typing
  • All project modifications are persisted immediately
  • No manual save button required

Downloading Videos

Once your project reaches the Completed state:

  1. Click the "Download" button in the action bar
  2. Your video will download as an MP4 file
  3. You can download the video as many times as needed (free)
